Managing User Groups and Access

Create user groups, copy permissions and manage access to folders and dashboards across your platform.

Overview:

User groups allow Admin users to manage access and permissions for multiple users at once. Groups can be used to control which content areas, folders and dashboards users can access.

Creating a User Group

To create a new user group:

Navigate to 'Manage groups' by selecting the person icon in the top-right corner of the platform.

On left side panel, select 'All users' and then click 'New group'.

This is prompt you to name the group. Once you have named the group, you can add users by selecting 'Add users'. This will open up the list of users.

Similar to adding users, you can also remove them by clicking 'Remove users'.

Copying User Permissions

You can copy an existing user’s permissions to another user. This is particularly useful when a new team member joins and needs the same access as other members of the team.

To copy a user’s permissions:

Select the user whose permissions you want to copy, this will show you all the permissions the user has. Click 'Cpoy membership to pool'

Expand 'Working pool' panel, which will pop up on the bottom right of the page.

Once you have expanding the working pool panel, you can see the groups that user is associated to. Under 'Users' select 'Add/Remove', here you can search for the users you would like to add to the working pool.

Select 'Add pool users to pool groups', once you have confirmed the changes, the new user will inherit the same permissions as the user whose access was copied.

Why Use User Groups?

User groups make it easier to manage access and ensure users have the appropriate level of permissions. Rather than assigning access to individual users, you can create groups based on teams, markets or other requirements and assign content to the relevant group.

For example, if you have dashboards that should only be available to the UK market, you can create a UK user group and give that group access to the relevant folder. This ensures that users outside the UK group cannot access the dashboards within that folder.

Using user groups helps keep content organised while ensuring users only have access to the information relevant to them.
